Runbook Privacy Policy

This policy applies to Runbook, a JPTR Productions product.
1. Local-First Architecture
Runbook is designed as a local-first application. Device records, maintenance history, custom notes, warranty details, preferences, and attached receipt images are stored on your device. Core records can be used without creating a named account.
Some optional and supporting features use cloud services as described below. We do not sell personal data or use it for targeted advertising.
2. Cloud-Assisted Product and Manual Search
Runbook creates an anonymous technical identifier through Supabase so product searches and manual-hunt results can be linked to the correct installation of the app. When you search for a product or ask Runbook to find an official manual, we may process the manufacturer, model, an anonymous user identifier, a search ticket identifier, and an Expo push token.
Manual searches may use Supabase, Amazon Web Services, Serper, OpenAI or another AI service provider, Cloudflare, and Expo. These providers process information only to operate product search, manual extraction, schedule generation, and completion notifications. Shared product information and maintenance schedules may be retained in Runbook's catalog so other users can benefit from an already-processed manual.
Service providers that handle data for Runbook are required to protect it consistently with this policy and applicable privacy requirements.
3. Artificial Intelligence
If an official schedule is unavailable, Runbook may send a device name or model prompt to an AI service to generate a general maintenance estimate. AI-generated schedules are labelled as estimates and should not replace manufacturer safety instructions.
Runbook also links to optional ChatGPT and Gemini device-identification tools. Information you choose to provide after opening those external services is governed by the selected provider's privacy policy.
4. Manual Issue Reports
If you choose to report an incorrect or missing manual, Runbook sends the relevant device and model, current manual link, app version, device platform, and any note you enter to Supabase. This information is used to investigate and correct the reported manual. Runbook may use an email delivery provider to notify support that a new report is available.
5. Camera, Photo Library, and Local Files
Runbook requests camera and photo-library access only when you choose to attach a purchase receipt. Receipt images are copied into Runbook's local app storage and are not uploaded by the current version of the app. Backup files contain local records and receipt file paths; receipt image files must be transferred or reattached separately.
6. Notifications
Runbook schedules local notifications for maintenance reminders. If you allow notifications, Runbook may also obtain an Expo push token and use Expo's notification service to tell you when a requested manual search has completed. You may deny or disable notifications in your device settings without losing access to core local features.
7. Third-Party and Affiliate Links
Runbook contains links to external services and affiliate links to marketplaces such as Amazon. When you follow a link, the external provider receives information normally sent by your browser or device and applies its own privacy policy. Runbook may earn a commission from qualifying affiliate purchases.
8. Retention and Deletion
Local data remains on your device until you delete it, replace it with a backup, clear the app's data, or uninstall Runbook. Shared catalog products and maintenance schedules are not personal records and may be retained.
Use Settings > Erase Local and Cloud Data to delete local Runbook records, pending manual-hunt tickets, cloud-linked device rows, manual issue reports, and the current anonymous cloud identity. If the feature cannot confirm cloud deletion, local data is left intact so you can retry. You may also request assistance at support@runbook.jptrproductions.com.
9. Security and Service Logs
Runbook uses encrypted HTTPS connections when communicating with service providers. Providers may retain limited operational and security logs according to their own retention policies. No internet service can be guaranteed completely secure.
10. Children's Privacy
Runbook is a general-audience household maintenance utility and is not directed to children under 13. We do not knowingly collect personal information from children.
11. Changes and Contact
We may update this policy when Runbook's features or providers change. The current version and effective date will be posted on this page.
